How to Assign and Manage Admin Roles in Cake for Employers

In Cake for Employers, the all-in-one recruitment platform and ATS, you can assign specific permissions to different team members to enhance flexibility in recruitment operations. This guide provides an overview of:

How to Assign Team Member Roles

  • Existing Team Members

    To update the role of an existing team member, go to Cake for Employers > Team > More Options (⋯) on the member card > Assign Role. Select the desired role and click Update to complete the change.

  • New Team Members

    To invite a new member and assign a role, go to Cake for Employers > Team > Add Team Members. Enter their Email and Job Title, assign a Permission, and click Send Invitation. The new member will then receive an invitation email to join the team.

Only the Owner and Super Admin can adjust team member roles. If the Owner or Super Admin account is no longer accessible, please contact the Cake Team for assistance.


Role Categories and Permissions

Super Admin & Owner

Super Admins have nearly all permissions and access rights, including the ability to:

  • Create / Edit / Archive all Jobs

  • Create / Edit / Archive all Candidates and Applications

  • Edit / Publish / Unpublish the Career Page

  • Manage Company Settings and Third-Party Job Board Integrations

  • Adjust other team members’ roles

  • Assign jobs to Assigned Job Managers

  • Delete team members

  • Access Analytics Reports

The company account creator is automatically designated as the Owner.
In addition to all Super Admin privileges, the Owner can also:

  • Transfer Ownership to another team member

  • Delete the Company

Each company has only one Owner. Ownership can only be voluntarily transferred to another member; it cannot be reassigned or removed by others. If the Owner account is no longer accessible, please contact the Cake Team for support.

Job Admin

Job Admins have full permissions related to jobs and applications, including the ability to:

  • Create / Edit / Archive all jobs

  • Create / Edit / Archive all candidates and applications

  • Access analytics reports

Assigned Job Manager

Assigned Job Managers have permissions limited to their designated jobs and related applications, including the ability to:

  • Edit / Archive assigned jobs

  • Create / Edit / Archive candidates and applications related to their assigned jobs

Member

Members do not have any editing or management permissions.

Regardless of role, all team members are displayed on the Career Page team section. However, management permissions are not shown publicly.

These role settings are designed around the ATS, Company, and Team features. The Talent Search feature is not included within these permissions.

Common Use Cases

Here are some typical scenarios to help you determine the most suitable role assignment:

  1. HR Partner responsible for partial job postings and editing the Career Page
    Since only a Super Admin can edit the Career Page, this member should be set as a Super Admin.

  2. Tech Lead managing recruitment for technical roles
    If limited to assigned jobs, the Assigned Job Manager role is sufficient.
    If the Tech Lead also needs to create new technical jobs, they should be set as a Job Admin.

  3. Corporate Executive who does not recruit directly but needs to view Analytics
    To access analytics reports, the role must be Job Admin or Super Admin.
