Cake AI Candidate Importer – User Guide & FAQ

The Cake AI Candidate Importer helps employers automatically import applicant resumes.

Simply forward any email containing a candidate’s resume (in the body or as an attachment) to your unique import address, and Cake AI will automatically create the candidate profile in the correct job or job project.

All candidate data can be managed, tracked, and analyzed directly in Cake for Employer.

How to Use Cake AI Candidate Importer

1. Create a designated import inbox

  1. Log in to Cake for EmployerJobs → Candidates.

  2. Click Add Candidate → AI Import → Import Settings.

  3. Select Create New, and the system will generate a unique importer email address.

  4. Add a label and name to organize by source, location, or role — e.g.

    • Source: LinkedIn, Company Website

    • Department: Taipei, Taichung, Software Engineering

    • Custom: “Taipei Engineer Collector”

2. Forward Resume Emails

Forward or send any email with a candidate’s resume to the collector address.

The email must Include:

  • Candidate name

  • Candidate email

  • Resume file (PDF, DOC, DOCX, or TXT)

3. Automatic Import

Cake AI automatically detects valid application emails that include both name and email, then:

  • Creates the application record

  • Assigns the correct label

  • Logs the result under Imported Logs

4. Check Import Results

Go to AI Import → View Imported Logs to see:

  • Successful and failed imports

  • Reasons for any failures (e.g. missing name or email)


Common Import Issues

  • Missing candidate name may leads to unable to create a profile

  • Missing email address may leads to unable to identify the candidate

  • Not a job application may leads to automatically ignored

  • Unsupported file type: Only PDF, DOC, DOCX, TXT supported

  • Missing attachments: Ensure forwarding settings keeps attachments


FAQ

Q1: Why can’t I use this feature?

Only Assigned Job Managers, Job Admins, Super Admins, and Company Owner can use it.

If you have permission but still can’t access it, contact Cake Business Team.

Q2: Can I create multiple inboxes?

Yes. You can create multiple designated import inboxes and labels for each job for better organization.

Q3: Can I edit a label?

No. To change a label, please delete the existing inbox and create a new one.

Q4: Can my team share one inbox?

Yes. Anyone forwarding to the same inbox will have resumes imported to the same place.

Q5: How long does import take?

Usually 3–5 minutes. You’ll receive an email notification once complete.

Q6: How do I confirm success?

Check Add Candidate → AI Import → View Imported Logs.

Q7: What if I forward the wrong email?

Non-application emails are ignored automatically — no data will be added.

Q8: Does it support multiple languages?

Yes, Cake AI recognizes resumes in various languages.

Q9: Is it secure?

All data is used only for candidate parsing and profile creation. Nothing is shared externally.
