How to Manage Custom Email Templates

The Applicant Tracking System (ATS) in Cake for Employers allows companies to create Custom Email Templates for a more complete and convenient experience.

How to manage Custom Email Templates

Template permissions and detailed actions

Within a company team, Super Admins & Owners and Job Admins can manage Custom Email Templates via Cake for Employers > Candidate > View Application > Email > Send Email > Template.

Available actions include:

  • Create: Click “Create Email Template” to add a new template

  • Edit: Click the edit icon to modify a template

  • Copy: Click the copy icon to duplicate a template

  • Delete: Click the trash bin icon to remove a template

Once a template is created, team members can select and apply it when sending emails. The final email content can still be adjusted before sending.

Email template structure and parameters

A Custom Email Template consists of a Template Name, Title (Subject) and Body (Content). The body can include dynamic parameters to personalize emails:

  • {full_name}: Candidate’s full name

  • {company}: Company name

  • {job_title}: Job title

  • {my_first_name}: Sender’s first name

  • {my_last_name}: Sender’s last name

  • {my_name}: Sender’s full name

  • {my_email}: Sender’s email


Limits on the number of Custom Email Templates

Each company can create up to three free Custom Email Templates by default. To create additional templates, click “Create Email Template” to contact Cake Business Partner or Cake Customer Team to request an upgrade.

If you’d like to cancel the upgrade, please contact your Cake Business Partner or the Cake Customer Team. The system will retain the three most recently created templates, and any older templates will be automatically deleted.

The system default templates — Job Offer Letter and Candidate Rejection Letter — are not counted toward the three free templates and cannot be edited, copied, or deleted.
